Upload 1099 data file to Virginia

Registration is Required: You will need to have username and account with Virginia Tax Web Upload.

• To Create a Username


• Click here to access the Virginia website https://www.webupload.tax.virginia.gov/user/login
• Click Sign Up and complete the Sign Up page

File Layouts: You will need to Create a File Layout before uploading files.

• To Create a File Layout


• Click here to access the Virginia website https://www.webupload.tax.virginia.gov/user/login
• Enter Username and Password and click login
• Click File Layouts on the left side





• Click Create New File Layout
  
  
  
  
• From the Drop Down List
• Select Tax:1099NEC Non-Employee Compenstion Form to create a 1099-NEC File Format
• Select Tax:1099Misc Income Form to create a 1099-MISC File Format
• Select Tax:1099K Payment Card and Third Party Network Transactions to create a 1099-K File Format


• Click Create at the bottom left of the window









• Enter and verify all 1099 data




• Enter the Submitter Information


• Click E-file Direct > Submitter Information
• Submitter information is person uploading the file
• Contact information is the Firm information preparing the 1099s



• Create the data file to upload


• Click E-file Direct > Create 1099/1098 Files > Create State 1099/1098 File and select Virginia
• Select a submitter
• Upload file information is the name and location of the file being created. You will need this information during the upload process.
• Click the [Create File] button to create the upload file.



• Upload the file


• Click here to access the Virginia website https://www.webupload.tax.virginia.gov/user/login
• Enter Username and Password and click login
• On the left side of the screen click on Upload Files
• On the Upload Files screen click on Upload a New File





• From the Drop Down List
• Select Tax:1099NEC Non-Employee Compenstion Form to upload a 1099-NEC File Format
• Select Tax:1099Misc Income Form to upload a 1099-MISC File Format
• Select Tax:1099K Payment Card and Third Party Network Transactions to upload a 1099-K File Format


• Use the [Browse…] button to browse and locate the file created with the W2/1099 Filer





• 1. Select file location - By default the files created will be in C:\TAS\23W21099\Efile\CompanyName\VA
• 2. Select the file
• 3. Click [Open] button to close the window





• On the Upload New File screen
• Do not check the box next to Compressed (Zipped)
• Do not check the box next to Ignore records with errors?
• Click the [Upload] button on the bottom left of the screen



• Verify and submit the file


• Verify the totals displayed are correct
• IMPORTANT: You must submit the file before it will be processed by the state.
• Click Complete Business Authentication to submit the entire file immediately to the state.
• Click the [OK] button on the “Are you sure you want to submit this file?” message.
• The file status will change to “In Process” after you submit the file
• The file status will change to “Processed” when it has been processed by the state, usually in about 1 to 2 days
